How it works
How the desk works
Rylander sits between your leads and your front desk. It catches what your team can't get to, works it the same way every time, and hands real conversations back to your studio.
| When a lead... | The desk... | Within |
|---|---|---|
| Calls and nobody picks up, or calls after hours | Answers live with a voice agent trained on your studio. If they hang up, texts them back. | Live, or a text in 5 min |
| Fills out a web form | Replies by text with answers from your playbook and a booking link when they're ready. | 5 min |
| Texts back | Holds a real conversation: classes, pricing, parking, what to bring. | Minutes |
| Goes quiet | Follows up on a schedule in your voice, then stops. | On schedule |
| Books an intro | Stops every follow-up the moment your booking platform shows it. | Automatically |
| Doesn't show up | Sends a same-day win-back to rebook. | Same day |
| Needs a person (injury, billing, cancellations, members, "can I talk to someone") | Stops, tells the lead your team will reach out, and alerts your studio with the conversation attached. | 5 min |
| Texts STOP | Stops for good and logs the consent record. | Immediately |
After-hours leads get their first text the moment your sending window opens, and that clock is in the Desk Standard too.
What your team does
One tap. That's the whole job.
When the desk hands off, someone at the studio taps Handled after they've followed up. The desk times it, so you see how fast each location closes the loop. Your team never logs into anything to keep the desk running.

Every message in your studio's name.
Every message goes out with your class names, prices, promos and tone. Scripts are written per modality, so a Pilates intro, a first cycling ride and a first massage each get the right words. The voice agent introduces itself as your studio's assistant and hands anyone who asks to a person.

FAQ
Questions owners ask.
How is this different from AI receptionist software?
Software is a tool your team has to set up, watch and fix. Rylander is a desk we run for you, with response times in writing and credits when we miss. If something breaks at 9 PM on a Saturday, it's our problem, not your manager's.
Do you replace my front desk?
No. The desk catches what your team can't get to and hands real conversations back to them.
Do you guarantee bookings?
No, and be careful with anyone who does.
Do I need a new phone number?
No. Your locations keep their numbers.
Which booking platforms do you work with?
ClubReady, Mariana Tek, Pike13 and Mindbody, with more on request.
What happens with my members?
Nothing, on purpose. Members go straight to your team.
Do callers know they're talking to AI?
Yes. The voice agent says so, and says the call is transcribed.
Is texting leads legal?
The desk only texts people who contacted you first, honors STOP and records every consent.
How long until we're live?
The carriers set the pace. If you're not live within 30 days of approval, your setup fee comes back.
Am I locked in?
No. Month to month with 30 days' notice.
I have one studio. Is this for me?
Yes. Most of our clients run several locations, but a single studio starts the same way: a free lead audit, $1,500 setup, $499 a month. If the audit shows the desk won't pay for itself at your volume, we'll tell you.
